Position Overview:
We are looking for a detail-oriented Order Processing and Customer Support Specialist. The ideal candidate will handle customer inquiries, process orders efficiently, manage accounts receivable, and perform various administrative tasks to ensure smooth operations and customer satisfaction.
Key Responsibilities:
Email Communications
Customer Inquiries:
- Address and resolve any customer-related inquiries promptly and professionally.
Order Processing
Daily Shipment Log:
- Review, maintain, and update the daily shipment log for open orders and back orders.
Order Processing Checklist:
- Attach purchase orders and shipping rate confirmations in QuickBooks.
- Verify client payment terms; ensure credit card payment or net 30 insurance if no terms exist.
- Confirm PO pricing accuracy.
- Check inventory status.
- Verify shipment readiness time.
- Create sales orders from customer POs or emails.
- Record the invoice once the order is confirmed by the customer.
Shipping Paperwork:
- Create and prepare shipping paperwork for outbound deliveries.
Shipping Arrangements:
- Arrange shipments with freight companies and track deliveries to ensure timely arrival.
Customer Communication:
- Communicate delivery updates with customers.
Accounts Receivable:
Invoicing:
- Send invoices to customers once the order is delivered/received, attaching delivery receipts to invoices.
Payment Processing:
- Receive and process payments from customers.
Past Due Monitoring:
- Monitor past due invoices, send reminders, and follow up for payment.
Ad-Hoc Tasks:
- Freight Inquiries: Update clients on any freight-related inquiries.
- Client Updates: Provide clients with any required information.
- Documentation: Prepare documents such as certifications.
- Customer Support: Handle any additional customer-related inquiries as needed.
Skills and Qualifications:
- Strong attention to detail to ensure accuracy in order processing and documentation.
- Excellent verbal and written communication skills to interact with customers and internal teams.
- Ability to manage multiple tasks and prioritize effectively.
- Experience with QuickBooks or similar accounting software.
- Strong problem-solving and analytical abilities.
- Prior experience in a customer support or order processing role is preferred.
- Ability to work collaboratively within a team environment.
- Strong time management skills to meet deadlines and handle urgent requests.
- Must be available in the Pacific time zone.
